Positions:

 

Clerk

 

Term of Commitment: Two years.  Either two Co-Clerks or a Clerk and Assistant Clerk may be appointed.    Terms do not need to be concurrent.  If an assistant clerk is appointed, he or she should be willing to serve as clerk if required.

 

Duties:    The persons who hold these two positions will determine how the several responsibilities of the “clerk” will be shared.

 

The clerk prepares the agenda for and facilitates the conduct of meetings for worship with attention to business. It is the responsibility of the clerk to oversee the recording of the “sense of the meeting”.  The clerk handles all official correspondence of the Meeting.  The clerk maintains communication with conveners of all standing committees.  The clerk (or co-Clerk) serves ex officio as a member of the Ministry and Counsel Committee and of the Finance Committee.  The assistant clerk or (other co-clerk) serves ex officio as a member of the Oversight Committee.  Prior to Yearly Meeting, the clerk gathers and summarizes the Meeting's committee reports and compiles responses to the Queries and Advices during the year (see Calendar). 

 

The two clerks will serve as President and Vice President of the Corporation. 

 

The clerks oversee the receipt of external communications with the meeting to ensure that letters and messages reach the appropriate person or committee within the meeting and receive any response in a timely manner.

 

Qualifications:   Both persons must be members of Durham Monthly Meeting.  They must have a sensitivity to the needs of the Meeting, and understand thoroughly the manner in which Friends make corporate decisions. 

 

Frequency of Commitment:  Each monthly business meeting, the annual corporation meeting, and called meetings as the need arises.
